Design Coordinator

Job Summary:

The Design Coordinator works with the Design and Building Envelope Teams coordinating administrative needs, ensuring teams are updated on contract documents, scope, schedule, and budget. Tracks the progress of each project from development to close out. Assists with client/stakeholder communication.

Responsibilities:

Responsible for drafting Design and Building Envelope proposals and Change Orders.

Responsible for drafting CALIC-Subconsultant agreements when projects are awarded.

Responsible for RFI/Submittal Log during CA and ensuring Sub-consultants/Architect of Record are responding in a timely manner.

Responsible for developing project schedules based on proposals and ensuring deliverables are scheduled on project teams’ calendars and deadlines are discussed/met.

Responsible for permit applications and ensuring permit applications are processed and reviewed for AHJ comments on a continual basis.

Responsible for generating and reviewing weekly reports of project budgets and updating the Project Log.

Responsible for updating the Project Log on a daily basis with new projects, change orders, milestones, etc.

Responsible for reviewing and obtaining approval from Project Managers on invoices for projects ensuring payment amount aligns with project schedule/deliverables and budget.

Responsible for critical meeting minutes and distribution to project team members in a timely manner (i.e., kickoff meetings, pre-bid meetings, Team meetings, etc.)

Skill/Experience Requirements:

  • Ability to draft subcontractor agreements, including detailed scopes of work without oversight.
  • Ability to organize meeting agendas, facilitate meetings, and distribute meeting minutes.
  • Design/construction industry knowledge/experience required.
  • Must be a good communicator with exceptional organizational skills.
